SMART SYNC

The Smart Sync feature allows Source Buddy to align with upstream systems by pulling in project, part, and price data. This ensures that your data remains current and accurate with your primary ERP or planning systems.

Tabs

The Smart Sync page is divided into two main tabs:

  1. Sync Volume: Synchronize volume and quantity data from upstream systems.
  2. Sync MOQ: Synchronize Minimum Order Quantity (MOQ) requirements from upstream systems.

Sync Volume

The Sync Volume tab allows you to synchronize volume and quantity data from your upstream systems into Source Buddy.

Filter Controls

The interface provides several filtering controls to customize your synchronization:

  • From Date: Start date for the synchronization period (mm/dd/yyyy format).
  • To Date: End date for the synchronization period (mm/dd/yyyy format).
  • Select Stage: Filter synchronization by project stage (Costing or Procurement).
  • Customer Name: Select one or multiple customers to filter the data.
  • Project Name: Select one or multiple projects based on the customer selection.
  • Filter: Execute the synchronization with selected parameters.
  • Reset: Clear all filter selections and return to default values.

Column Descriptions

The Sync Volume table displays the following information:

  • MPN: Manufacturer Part Number.
  • UOM: Unit of Measure (e.g., EA).
  • Gross Quantity: Total quantity required across all projects.
  • Engineer Name: Name of the engineer assigned.
  • Project Name: Associated project name.
  • Current Stage: Project stage (e.g., Costing).
  • Internal Part No.: Internal tracking number.
  • Quantity: Specific quantity for the project.
  • E.C.Date: Expected Completion Date.
  • Supplier: Supplier name.
  • Stock: Current stock level.
  • Price: Unit price.
  • Currency: Currency code (e.g., USD, EUR).
  • MOQ: Minimum Order Quantity.
  • LT: Lead Time.
  • Difference: Quantity difference.
  • Action: Expand/Collapse button to view detailed project breakdowns.
  • Assigned To: User assigned to the item.

How to Use

  1. Click on the Sync Volume tab
  2. Select the From Date and To Date
  3. Choose the appropriate Stage
  4. Select specific Customer Name(s) and Project Name(s) from the dropdown lists
  5. Click Filter to initiate synchronization
  6. Review the data in the table
  7. Click the Action (+) button to expand and view details for specific projects under an MPN
  8. Click on the required MPN to view the project breakdown.

Part Sync Details

When you click on an MPN, the Part Sync view opens, allowing you to view detailed project breakdowns and optimize supplier selection.

Actions

  1. View Project Breakdown: The top table displays detailed information for each project associated with the MPN, including current supplier, price, and stock.
  2. Get Live Price: Click the Get Live Price button to fetch real-time pricing and availability from connected suppliers.
  3. Select Supplier:
  4. A list of suppliers will appear in the bottom table.
  5. Review the Price, Stock, and Total Price.
  6. Select the checkbox for the preferred supplier to see potential Cost Savings.
  7. Confirm and Apply: Click the Confirm and Apply button to finalize the supplier selection for the consolidated quantity.

Sync MOQ

The Sync MOQ tab allows you to synchronize Minimum Order Quantity (MOQ) requirements from your upstream systems.

Filter Controls

  • Internal Part No: Internal tracking number.
  • Required Quantity: Quantity required for the project.
  • Project Name: Associated project name.
  • Selected Supplier: Supplier selected for the item.
  • Stock: Current stock availability.
  • Price: Unit price.
  • Currency: Currency code.
  • Converted Price: Price converted to the base currency.
  • SPQ: Standard Pack Quantity.
  • MOQ: Minimum Order Quantity.
  • QuantityDiff: Difference between required quantity and MOQ/SPQ.
  • Total Cost: Total cost for the required quantity.
  • MOQ Cost: Cost based on MOQ requirements.
  • Checkbox: Select items for further processing.

How to Use

  1. Click on the Sync MOQ tab
  2. Select the From Date and To Date
  3. Choose the appropriate Stage
  4. Select Customer Name(s) and Project Name(s)
  5. Click Filter to display the data
  6. Click Fetch MOQ to get the latest MOQ details from suppliers
  7. Review the data columns including MOQ, QuantityDiff, and Costs
  8. Use the checkboxes to select items for processing
